Job Description

Job Overview:
Invitro Capital is seeking a dedicated and highly organized Executive Assistant to the CEO to join our dynamic team. This role is pivotal in ensuring the seamless operation of the CEO’s office. As the Executive Assistant, you will be closely involved in all aspects of the CEO’s professional life, managing their calendar, coordinating meetings and travel, and handling sensitive information with the utmost discretion. The ideal candidate is proactive, detail-oriented, and possesses exceptional communication and organizational skills. 

This is an onsite position requiring close availability and occasional travel based on the CEO’s schedule.

Executive Assistant, Responsibilities:

  • Efficiently manage and maintain the CEO’s calendar, scheduling appointments, meetings, and travel arrangements. Ensure the CEO’s schedule is optimized and up-to-date.
  • Prepare and coordinate materials for meetings, including agendas, presentations, and reports. Organize and manage logistics for high-priority meetings and events.
  • Screen and prioritize incoming calls, emails, and correspondence. Provide timely and accurate responses on behalf of the CEO when necessary.
  • Conduct research and gather information on various topics to support decision-making and project planning. Provide comprehensive support for strategic initiatives.
  • Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Organize and maintain files, documents, and records, both electronic and physical. Ensure all documentation is accurate and accessible.
  • Assist in the planning and coordination of company events, conferences, and workshops.
  • Perform general administrative duties, including managing correspondence, drafting emails and letters, and managing office supplies.

Requirements

Minimum Qualifications:

  • Bachelor’s degree in Business Administration, or a related field.
  • 7+ years of proven experience as a Personal Assistant, Executive Assistant, or in a similar role supporting C-level executives.
  • Excellent organizational and time-management skills with the ability to handle multiple tasks and prioritize effectively.
  • Proven experience coordinating complex travel arrangements.
  • Strong communication and interpersonal skills, capable of interacting professionally with internal and external stakeholders.
  • Demonstrated discretion and integrity in managing confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Detail-oriented with a high degree of accuracy in work.
  • Flexibility to adapt to demanding and changing work environments, with a commitment to being available as needed.

Preferred Qualifications:

  • Familiarity with project management tools and software.
  • Experience with public relations (PR) is a plus.
