Job Description

Summary: 

  The Leasing Agent is responsible for leasing units and providing exceptional customer service to residents while actively assisting Community Manager with supervision and administrative responsibilities. The Leasing Agent additionally is required to actively promote company mission, values, and culture, as well as act with the highest level of ethical decision-making at all times.

 

 

Essential Functions:
Assists the Community Manager with the following (including but not limited to):

  • Manages communications with residents, including but not limited to, payment reminders, payment arrangements, and/or legal eviction procedures.
  • Assists residents/prospective residents with questions.
  • Answers phone calls, takes messages, schedules appointments, checks and responds to voice mails.
  • Collects rent, processes billing statements, posts payments, and deposits receipts.
  • Prepares reports and maintains accurate records and resident files.
  • Processes move-out paperwork and security deposits.
  • Orders and maintains administrative office supplies.
  • Creates application packets and enters applicants into system.
  • Assists with Recertification Interviews.
  • Maintains an organized and professional workspace to effectively manage and process paperwork, and to ensure all residents and prospective residents feel welcome.
  • Maintains a positive and professional customer service attitude at all times, including but not limited to being pleasant, respectful and responsive to residents, prospective residents, vendors, contractors and all staff.
  • Formulates ideas for an effective marketing plan.
  • Accurately records and tracks quantity and details of telephone and in-person prospects.
  • Shows and leases apartments to prospective residents, processes, approves or denies rental applications.
  • Schedules and coordinates new resident move ins and updates vacancy and occupancy status daily.
  • Conducts new resident orientation and performs move in and move out inspections.
  • Enforces and adheres to lease and rules and regulations, processes work orders and coordinates schedules with maintenance department.
  • Processes monthly lease renewals, prepares all necessary documentation and schedules and conducts interim and annual re-certifications or lease renewal signing
  • Monitors apartment inspections relating to move-in and move out procedures.
  • Schedules and performs applicant/resident interviews.
  • Obtains third party verification of income, assets and deductions (when applicable).
  • Follows all company rules, regulations, policies, and procedures as set forth in training sessions, manuals, memos and other means of communication.
  • Attends scheduled meetings including site staff meetings, corporate management meetings, or other meetings as required.
  • Communicates professionally, respectfully and collaboratively as well as acts with the highest standards of ethical conduct at all times.

· Performs related duties consistent with the scope and intent of the position.

· Effectively, respectfully, and professionally partners with all staff at all times.

· Must have excellent communication, interpersonal, customer service, organizational, time management, and verbal and written skills.

· Must be able to communicate at all times respectfully and professionally with residents, emergency providers, outside contractors, all staff, etc.

· Must be able to maintain professional, respectful and collaborative communication as well as act with the highest standards of ethical conduct at all times. 

· Must have computer proficiency in Microsoft Office and ability to navigate the Internet.

· Must be able to walk, move and transport up to 25 lb. loads, bend, stoop, climb stairs.

 

Supervisory Responsibilities:

· This position does not have any supervisory responsibilities. 

 

Core Competencies/Qualifications:

  • Must have valid driver’s license, New York State motor vehicle insurance, and reliable transportation.
  • High School Diploma
  • Minimum of 1 years’ experience in property management or customer service-related role preferred.
  • Affordable Housing experience preferred.
  • Required use of personal cell phone.
  • Must be able to walk, lift and move light loads (20 lb. max), bend, stoop, and climb stairs on a regular basis.
  • Ensures consistent, professional and respectful communications to residents in such a manner as to maintain the respect and goodwill of all residents.
  • Performs other duties as assigned and commits to promoting company culture, mission and values.
